When spare parts become a property portfolio problem

The shelves in a property maintenance room tend to collect things that seemed worth keeping at the time.

There might be a hose left over from a refurbishment, a pair of unopened handles and several clear shower seals in slightly different sizes. On one job, the measurements were uncertain, so two similar options were ordered. On another, the unused fittings came back to the storeroom rather than being thrown away.

Months later, a different bathroom needs a new bottom seal. A maintenance worker takes one from the shelf. It is long enough and still in its packaging, but once on site, the channel does not fit the glass.

The spare goes back into the van, and another order has to be placed.

This is easy to overlook when a landlord manages one or two homes. As a portfolio grows, however, shelves begin to fill with parts that look useful but match only a narrow set of conditions.

A spare is not always something worth stocking

Keeping an extra part after a repair can be sensible.

The original specification has already been confirmed, and the cost of adding one more item to the order may be small. The difficulty comes when a spare for one particular installation is treated as general stock for the whole portfolio.

A spare only needs to fit the job it was bought for. A stock item needs a reasonable chance of fitting somewhere else.

That distinction is not always obvious when everything is sitting together on the same shelf. A handle from a discontinued range may still be perfectly usable. A hose may be unopened. Neither is especially helpful if the same fittings do not appear in any other property.

What matters is not simply whether the part can still be used, but whether the same fitting conditions are likely to come up again.

Ordinary-looking parts can be the hardest to reuse

The fittings most likely to be kept are often the ones that appear simple.

They are inexpensive, easy to store and, in some cases, can be trimmed or adjusted. Putting one aside rarely feels like a serious stock decision.

The differences only become clear when somebody tries to fit it.

A hose may be the right length but have the wrong connector. A handle may look similar from the front while the fixing holes sit in a different position. The part is not faulty, and it may not even have been ordered incorrectly. It just belongs to a smaller group of installations than its appearance suggests.

Clear seals fitted along the bottom of shower doors are a good example.

Similar shower seals are not necessarily reusable

A clear bottom seal looks like an obvious spare to keep.

Many bathrooms use one. Most can be cut down to length, and several profiles may look much the same until they are placed side by side.

That can make length seem like the main measurement. In practice, it is often the easiest part to deal with.

The seal still has to grip the glass correctly. Its lower section has to suit the space between the glass and the shower tray or bath edge. The shape beneath the door also affects where the water is directed and whether the profile suits that particular arrangement.

With a shower screen bottom seal, the overall length is easy to notice, but glass thickness, the gap below the screen and the way the profile works are usually more useful when deciding whether the same specification could be used elsewhere.

A maintenance room can therefore contain several new, unopened seals and still not have the right one for the next shower door.

They may belong to the same broad product category, but not to the same installation.

Past use tells you more than a low price

Small fittings are rarely expensive enough to attract much attention on their own.

That makes it tempting to keep an extra one simply because the cost seems minor. Yet a low price does not make an unusual specification more likely to be needed again.

A part made for one older door or an uncommon connector may occupy very little room and still sit untouched for years.

A fitting already used across several properties is different. Even if it costs slightly more, there is a clearer reason to keep a small number of spares.

Flats refurbished as part of the same programme may use hoses with matching connectors or basic handles with the same fixings. When one eventually wears out, the replacement can be taken to site with a much better chance of fitting first time.

For a maintenance team, previous use across the portfolio is often a better guide than the original purchase price.

Standardisation usually begins with the next purchase

Existing properties may have been built, refurbished and repaired at different times by different contractors.

Replacing working fittings simply to reduce the number of specifications would make little sense. Standardisation is more useful when it shapes future choices rather than forcing unnecessary changes to what is already there.

When two products both suit the job, and one is already used elsewhere in the portfolio, choosing the familiar option can make later replacement easier.

The same applies during a group of refurbishments. Hoses, basic handles and routine fixings do not always need separate systems for the sake of a small visual difference.

This does not mean every bathroom has to look identical. Cabinet colours, finishes and decorative details can still vary. The parts worth keeping consistent are usually the smaller components that will wear, be removed or need ordering again.

Over time, those ordinary purchasing decisions begin to reduce the number of one-off specifications entering the storeroom.

Rare fittings do not need to live on the shelf

Some differences cannot be standardised away.

An older frame, an unusual glass size or a less common installation may exist in only one or two properties. The correct part still needs to be found, but it does not necessarily need to be bought in advance and kept for years.

For these less common fittings, knowing where to source the right part can be more useful than holding several versions in stock.

That approach does not leave the maintenance team unprepared. It simply separates regular stock from occasional purchases.

The storeroom will not change overnight. Old spares may remain, and the differences between existing properties will still be there.

The change is more gradual. Common fittings are used and replaced. Rare specifications are no longer reordered automatically just in case. The next time someone reaches for a part on the shelf, there is a better chance it will be there because the portfolio actually uses it, not because one repair happened to leave it behind.
